Administrative Assistant - Development and Property

Mars Hill Church’s mission is to plant churches and make disciples. The Development Group serves the mission of Mars Hill Church by partnering in the planting of new Mars Hill churches and leading a variety of other capital initiatives. We oversee these developments through real estate, design, construction, production technology, and project management. We get a front row seat to see Jesus build his church and, by God's grace, there are many exciting opportunities at hand and ahead. This is a growing department which is in need of additional administrative support for the department's director. This role requires a person with a mature Christian walk, professional-level experience and a passion for advancing the gospel as part of Mars Hill Church. The candidate will be doing a wide range of tasks ranging from the simple to the complex and requires a high level of trust and responsibility.

ROLE SUMMARY

The Director of Development is responsible for oversight and management of Development Group and Property Department. The assistant will be responsible for protecting the director’s priorities, time, schedule and resources. The candidate must be able to function effectively and thrive in an ever-changing environment, often with limited direction and supervision.

  • Bachelors degree.

  • Unquestionable integrity and trustworthiness with confidential and sensitive information.

  • Exhibit a “whatever it takes” attitude and humility to tasks that are needed.

DUTIES & RESPONSIBILITIES

  • Manage director’s calendar, contacts and technology needs:
    Schedule appointments, meetings, events, phone conferences, etc.
    Communicate regularly with director to provide status report for current projects and tasks and to help manage deadlines.
    Screen and appropriately direct email and phone calls; forward email summary once a day and forward urgent emails as necessary.
    Communicate on director’s behalf fielding requests and questions.
  • Meetings:
    Coordinate agendas, logistics, hospitality, handouts, etc. for meetings and events.
    Take and disseminate notes and action items for all of director’s meetings.
  • Reconcile monthly credit card statement with business receipts.
  • Maintain accurate accounts and expenses in budget documents.
  • Maintain clean and organized office and team meeting spaces.
  • Appreciation gifts for members, volunteers, and people in community as needed.
  • Coordinate travel details, arrangements and itineraries for off-site meetings and other travel.
  • Publications—order books, subscriptions, etc as requested.
  • Assist with various administrative tasks and be available for emergencies and special projects as needed.

Schedule: Monday - Friday
Hours: 40+ hours per week
Location: Central Offices | Seattle WA (Ballard)
Vacation: Two weeks floating vacation plus one week at Christmas
