Executive Assistant to Lead Pastor - Downtown Seattle

Mars Hill Downtown Seattle is strategically positioned in the heart of Seattle in the Belltown neighborhood, a few blocks north of Pike Place Market. Since launching in March 2008, through God’s grace this church has redeemed Seattle’s most notorious nightclub into the largest church in downtown Seattle averaging 1200 weekly attendees across five services (Saturday evening, plus four Sunday services). We have a unique opportunity to have a high profile impact on urban culture and the future of downtown Seattle. Current ministry strategies include: arts, mercy, business, neighborhoods (50+ community groups), and partnering with city leaders to show the love of Jesus for all people and grace on the city of Seattle.

Due to this growth and ambitious goals, Mars Hill Downtown Seattle has reached a level of complexity requiring the investment in hiring an executive assistant to serve as a key right-hand helper to the lead pastor to help him focus on preaching and teaching, ministry growth, and leadership development. You will have the opportunity to use your gifts and talents to serve the body of Christ and receive one on one discipleship, training and equipping to fulfill God’s calling.

ROLE SUMMARY

The executive assistant will report directly to the lead pastor at the local church and be responsible for helping protect the pastor’s priorities, time, schedule and resources.. The lead pastor is the primary visionary for the local work of each Mars Hill church. The candidate must be able to function effectively and thrive in an ever-changing environment, often with limited direction and supervision.

QUALIFICATIONS

  • Fulfill the duties required of Mars Hill Church members as outlined in the membership covenant.
  • Fulfill the character qualifications of a deacon as taught in the Scriptures.
  • Proven leadership track record and a clear calling for church leadership.
  • Professional-level skills and experience in business, project management, and leadership.
  • Strong communication abilities in writing and in person.
  • Unquestionable integrity and trustworthiness with confidential and sensitive information.
  • Dependable, flexible, humble, and a sense of humor.
  • Anticipate and thrive in rapidly changing environment requiring frequent adjustment of job roles and duties.
  • Ability to manage multiple projects and work assignments with minimal supervision with a variety of staff.
  • Exhibit a “whatever it takes” attitude.

DUTIES & RESPONSIBILITIES

  • Manage calendar and contacts; screen and appropriately direct email and phone calls.
  • Schedule appointments, meetings, teaching engagements, events, phone conferences, etc.
  • Ensure maintenance of technology, e.g iPhone, laptop; maintain list of user ids and passwords.
  • Reconcile monthly business receipts with credit card statement.
  • Publications—order books, subscriptions, etc as requested.
  • Office space - maintain clean and organized office, including filing system; hospitality for meetings.
  • Work on miscellaneous tasks for events, e.g. invite lists, invitations, menu planning, etc..
  • Communicate daily with pastor, updating and debriefing current projects and tasks.
  • Communicate on pastor’s behalf to staff, business associates, etc.
  • Perform tasks such as typing, editing, copying, filing, and distributing documents.
  • Build and maintain lead pastor’s bio and resume.
  • Project management - gather tasks for all pastor’s and departmental projects; develop or implement project management system; identify potential problems, pitfalls and delays in projects and propose solutions.

Schedule: Monday–Friday plus weekend responsibilities (also must be available for special events)
Hours: 40 hours per week
Location: Downtown Seattle, WA
Vacation: Two weeks floating vacation plus one week at Christmas
